We collect and use personal information about our employees and job applicants to manage recruitment, employment, and our business operations. When you apply to rent a property, we may collect personal information about you from third parties with your consent to assess your suitability as a tenant, as outlined in the Application for a Residential Tenancy form.
This may include information from your employer (to confirm employment), your current or previous landlords (to verify rental history), credit reporting agencies (for credit checks), the Ministry of Justice (for fines or enforcement history), and the New Zealand Transport Agency (to verify your driver license details). We may also collect information from an existing tenant at the property with your consent.
During a tenancy, we may receive personal information about you from third parties where necessary to manage the tenancy, such as from contractors, tradespeople, or service providers.
We may receive personal information about you when you contact us through third-party property listing and advertising platforms where our properties are advertised. In these cases, the provider shares the information you submit (such as your name, contact details, and enquiry details) with us.

From time to time, real estate agents may transfer personal information between themselves, for example, when an agent moves to a new region and provides their local contacts to an agent in the area they have left. In this case, you will receive the opportunity to ‘opt out’ of the new agent holding and using your information.
In some cases, we collect personal information about job applicants from other people or organisations to support our recruitment processes. This may include information from recruitment agencies and publicly available sources such as professional networking or job platforms LinkedIn and SEEK).
Where relevant, we may also carry out reference checks and, where appropriate, criminal record or credit checks. We will only do this with your consent and will let you know the details of the information being collected, including who that information is being collected from.

We use CCTV in our premises to help reduce crime, prevent anti-social behaviour, and support safety. Signs are in place to let you know where CCTV is operating. Footage is only accessed by authorised people for the purposes above or to check that the system is working. We do not try to identify individuals from CCTV footage unless it is needed to investigate a reported or suspected incident.
Barfoot & Thompson may share personal information with third parties we work with to provide or promote our products and services, including using techniques to identify potential audiences. Your personal information will only be shared on a confidential basis for the purposes of our business and promotions only, and the third party is not permitted to use the information to promote their own products and services.
Barfoot & Thompson may receive or share personal information with governmental agencies or other companies assisting us in fraud prevention or investigation. We may do so when: (1) permitted or required by law; or (2) trying to protect against or prevent actual or potential fraud or unauthorised transactions; or (3) investigating fraud which has already taken place. Personal information is not provided to these entities for marketing purposes.
